Eligibility & Conduct Requirements:
To maintain a respectful and spiritually upbuilding atmosphere, all travelers must meet the following requirements.
Must be associated with a congregation of Jehovah’s Witnesses
Must be exemplary in conduct
Must adhere to all scheduled times and group guidelines
Respectful and cooperative behavior is required at all times
Dress Code for Bethel & The MET:
Modest clothing is required
No casual clothing such as jeans, shorts, T-shirts, or leggings
Women: Dresses or skirts are required
Footwear: Avoid Flip-flops or beach style sandals for visits to Bethel & the MET
Payment Schedule:

$500 Payment due on or before July 1, 2026
Remaining balance due on or before August 15, 2026
Payments may be made at any time prior to the final payment deadline. An invoice will be sent you with the payment deadline from Vanilla Cow Travel Company LLC.
Reservations not paid in full by August 15, 2026 may be cancelled without refund.

1. Booking & Payments
A non-refundable deposit of $350.00 per person is required to secure your reservation. Bookings are not confirmed until payment is received.
Full payment must be completed by the stated deadline. Failure to complete payments may result in cancellation without notice.
2. Refund & Cancellation Policy
The $350.00 deposit is strictly non-refundable and non transferable.
Amtrak tickets are expected to be issued by July 15, 2026. Once Amtrak tickets have been issued, the rail transportation portion of the tour becomes non-refundable. Any eligible refunds will be reduced by the cost of the Amtrak transportation and ay other non-refundable supplier charges incurred on behalf of the traveler.
Because this tour is based on group transportation, hotel contracts, and supplier commitments, the following cancellation schedule applies:
• Cancellations received on or before June 30, 2026: Refund of all payments made, less the non refundable deposit.
• Cancellations received July 1-August 14, 2026: Refund of 50% of amounts paid, less non-refundable deposit, Amtrak costs, and any other non-refundable suppler charges.
• Cancelations received on or after August 15, 2026: no refund.
Reservations may be transferred to a replacement traveler, subject to supplier approval and any applicable fees. Any costs associated with the transfer are the responsibility of the traveler.
Vanilla Cow Travel Company reserves the right to cancel, modify, or adjust the tour if the minimum participation requirements are not met or if the supplier, transportation , operational, or unforeseen circumstances require changes.
No refunds will be issued for missed departures, late arrivals, voluntarily unused services, early withdrawal from the tour, or failure to participate in scheduled activities.
Travel insurance is strongly recommended.
3. Room Occupancy
All rooms are based on double occupancy unless a single or family room is requested and confirmed at an additional cost.
4. Traveler Responsibilities & Itinerary
Travelers are required to follow the scheduled itinerary.
If you choose to deviate:
• You do so at your own expense and responsibility
• The group will not delay or adjust plans
• You are responsible for rejoining the group
5. Personal Expenses
Travelers must bring sufficient funds for:
• Optional tours and activities
• Meals not included
• Tips and gratuities
• Currency exchange
• Personal purchases and souvenirs
6. Flight Responsibility & Traveler Information
For any flights included:
Reservations will be made using the information you provide.
It is your responsibility to ensure accuracy exactly as shown on your passport.
Vanilla Cow Travel Company LLC is not responsible for:
• Incorrect names or information
• Airline fees
• Denied boarding
Travelers must book flights that allow on-time arrival to the tour.
7. Code of Conduct
Disruptive behavior, harassment, repeated refusal to cooperate with reasonable tour coordination, failure to pay vendors, borrowing money without repayment, damage to property, or conduct negatively affecting the experience of other travelers may result in removal from the tour without refund.
8. Financial Responsibility
Travelers are responsible for all personal expenses incurred.
Failure to pay vendors, restaurants, transportation providers, guides, or services may result in removal from the tour and possible legal action.
9. Property Damage
Travelers are responsible for any damage caused to:
• Hotels
• Transportation (vehicles, trains, aircraft)
• Tour venues
• Rental vehicles
• Restaurants
All damages must be paid by the traveler.
10. Liability & Assumption of Risk
Participation is voluntary and at your own risk.
Vanilla Cow Travel Company LLC is not responsible for:
• Accidents or injuries
• Loss, theft, or damage of belongings
• Delays or disruptions
• Third-party services (hotels, airlines, transportation, tours, restaurants, guides)
11. Communication Requirements
Travelers must:
• Join the WhatsApp group for the duration of the tour
• Remain in the group for updates and communication
• Have a working mobile phone
Vanilla Cow Travel Company LLC is not responsible for missed information if a traveler fails to stay connected.
12. Emergency Contact
All travelers must provide a valid emergency contact prior to departure.
13. Compliance with Local Laws
Travelers must obey all local laws.
Any involvement in illegal activity, theft, arrest, or conduct resulting in legal intervention may result in immediate removal from the tour without refund.
Vanilla Cow Travel Company LLC is not responsible for legal consequences.
14. Unauthorized Guests
Only registered and fully paid travelers may participate.
No guests are permitted on the tour or within accommodations.
15. Travel Insurance
Travel insurance is strongly recommended.
Vanilla Cow Travel Company LLC is not responsible for losses that may otherwise be covered by insurance.
16. Force Majeure
Vanilla Cow Travel Company LLC is not responsible for events beyond its control including:
• Weather
• Natural disasters
• Government actions
• Strikes
• Transportation delays
• Civil unrest
• Public emergencies
17. Package Pricing / No Cash Value of Components
This tour is sold as a complete package and not as separately priced components. Transportation, accommodations, meals, admissions, activities, and other inclusions are bundled into the total package price and are not individually itemized or assigned separate cash values.
No refunds, credits, substitutions, exchanges, or reimbursement will be issued for unused, declined, missed, forfeited, voluntarily altered, or partially used portions of the package for any reason.
Guests electing to make independent travel arrangements, depart early, arrive separately, or otherwise deviate from the scheduled itinerary do so at their own expense and forfeit any unused package inclusions.
18. Florida Seller of Travel Disclosure
Vanilla Cow Travel Company LLC is registered with the State of Florida as a Seller of Travel.

Registration as a Seller of Travel does not constitute approval, recommendation, or endorsement by the State of Florida.
19. Group Participation, Photography & Tour Conduct
Guests understand that Vanilla Cow Travel Company LLC offers curated group experiences with planned activities, sightseeing, meals, and optional photo opportunities intended to enhance the overall tour experience.
Participation in photographs is voluntary; however, guests are expected to communicate respectfully with tour staff and fellow travelers.
Guests who do not wish to participate in photographs or activities should politely notify the tour host.
Travelers acknowledge they are responsible for reviewing tour details, itineraries, inclusions, destinations, activities, and experience information before booking.
Personal preferences, dislikes, dietary habits, activity preferences, or dissatisfaction with clearly disclosed tour components do not constitute grounds for refunds, credits, compensation, or itinerary modifications.
Repeated disruptive behavior, refusal to cooperate with tour coordination, or conduct negatively affecting the experience of others may result in intervention or removal without refund.
20. Dietary Preferences / Food Selections
Guests are responsible for reviewing destination cuisine and notifying Vanilla Cow Travel Company LLC of dietary restrictions, allergies, or medical needs before travel.
While reasonable efforts may be made to accommodate preferences, personal dislikes, menu dissatisfaction, destination cuisine choices, or food preferences do not constitute grounds for refunds, credits, compensation, or itinerary changes.
21. Operational Changes & Tour Logistics
Vanilla Cow Travel Company LLC reserves the right to reroute, rearrange, substitute, adjust, or modify any portion of the itinerary due to logistics, operational requirements, transportation limitations, parking restrictions, venue policies, weather conditions, safety concerns, supplier changes, traffic conditions, government requirements, or circumstances beyond its control.
Changes may include route modifications, transportation changes, substitute destinations, adjusted schedules, alternate meeting points, or replacement experiences.
Such operational adjustments do not constitute cancellation of the tour and do not qualify for refunds, credits, or compensation.
22. Group Dining & Cash Payment Expectations
Because the group may dine together at certain restaurants and establishments, guests are encouraged to bring cash for meals, gratuities, and personal purchases.
Group dining arrangements may require timely settlement of bills and cash payments may help avoid delays, confusion, split-check limitations, payment processing issues, or complications arising from multiple card transactions.
Guests remain responsible for personal meal expenses and gratuities unless otherwise stated.
23. Gratuities, Third-Party Providers & Tour Etiquette
Certain local guides, drivers, historians, venue staff, and third-party service providers customarily receive gratuities for services rendered.
Travelers acknowledge responsibility for reviewing supplier communications, recommendations, policies, and information distributed through Vanilla Cow Travel Company LLC.
Unless specifically stated as included, gratuities remain the responsibility of the traveler.
Guests are encouraged to bring cash and small bills for gratuities and incidental expenses.
24. Financial Participation & Shared Travel Costs
Travel pricing is based on projected participation, operating costs, transportation expenses, lodging, admissions, and scheduled inclusions. Unexpected operational expenses may arise. Voluntary contributions or gratuities provided to the tour host are appreciated but not required and do not alter contractual obligations or package terms.
26. Written Communications, Notices & Reservation Records
Vanilla Cow Travel Company LLC may communicate with travelers through email, text message, WhatsApp, invoices, booking systems, websites, social media messaging platforms, or other written means.
Travelers are responsible for maintaining current contact information and monitoring communications sent by the Company.
The Company may issue written summaries following telephone conversations concerning reservations, payments, credits, cancellations, disputes, policy matters, or other travel-related issues. Such summaries shall become part of the reservation record.
Failure to read, acknowledge, receive, or respond to communications shall not invalidate the communication, reservation status, payment obligations, cancellation decisions, deadlines, or Company actions.
27. Credits, Courtesy Credits & Goodwill Accommodations
Any travel credit, courtesy credit, goodwill credit, promotional credit, accommodation, exception, waiver, or adjustment offered by Vanilla Cow Travel Company LLC is voluntary and provided solely at the discretion of the Company.
Credits have no cash value, are non-transferable, may not be exchanged for cash, and may be subject to expiration dates, booking requirements, availability restrictions, additional terms, or other conditions established by the Company.
Unless otherwise stated in writing, credits are not considered accepted until acknowledged and accepted by the traveler in writing.
Failure to accept or utilize a credit within the stated conditions may result in forfeiture of the credit.
28. Direct Communication & Reservation Privacy
Questions regarding reservations, payments, balances, credits, cancellations, refunds, room assignments, account status, or other reservation matters must be directed to Vanilla Cow Travel Company LLC by the traveler whose reservation is involved.
The Company reserves the right to decline discussion of reservation matters with third parties who are not parties to the reservation.
Reservation records, payment history, account balances, credits, rooming arrangements, financial information, and traveler communications are considered private business records and may be withheld from third parties unless disclosure is required by law.
29. Room Assignments, Occupancy & Operational Adjustments
Room assignments are determined and managed by Vanilla Cow Travel Company LLC and may be adjusted before or during travel for operational, logistical, occupancy, traveler compatibility, supplier requirements, safety concerns, hotel limitations, unforeseen circumstances, or other business-related reasons.
Specific roommates, room locations, room categories, bedding configurations, occupancy arrangements, upgrades, or room preferences are not guaranteed unless confirmed in writing.
The Company reserves the right to modify room assignments, occupancy arrangements, roommate pairings, lodging configurations, or accommodations as necessary for efficient tour operations.
Operational rooming decisions shall not constitute a reduction in services, breach of contract, misrepresentation, or grounds for refunds, credits, reimbursement, compensation, or claims regarding package pricing.
30. Package Pricing, Cost Allocation & Internal Business Operations
Travel package pricing is determined by Vanilla Cow Travel Company LLC and is based upon projected operating costs, supplier costs, administrative expenses, staffing, transportation, accommodations, admissions, business expenses, market conditions, and anticipated profit.
The Company is not required to disclose internal operating costs, profit margins, commissions, compensation arrangements, room assignments involving staff or hosts, business expenses, supplier agreements, vendor pricing, staffing costs, or other proprietary business information.
Package pricing accepted by the traveler shall not be subject to adjustment, challenge, refund, credit, reimbursement, or recalculation based upon assumptions regarding Company expenses, host accommodations, staffing arrangements, or operational decisions.
31. Failure to Pay, Late Payment & Reservation Default
Travelers who fail to make required payments by stated deadlines may have their reservations suspended, canceled, released, reassigned, or otherwise modified without further notice.
Any payments previously made shall remain subject to the refund and cancellation provisions contained within these Terms & Conditions.
The Company shall not be responsible for losses resulting from a traveler’s failure to make timely payments.
32. Right to Refuse Service or Future Bookings
Vanilla Cow Travel Company LLC reserves the right to refuse, decline, cancel, or terminate participation in any current or future tour, reservation, activity, or travel service at its sole discretion.
Reasons may include, but are not limited to:
• Repeated late payments
• Failure to follow Company policies
• Disruptive behavior
• Harassment of staff, suppliers, or travelers
• Interference with tour operations
• Failure to cooperate with reasonable requests
• Conduct negatively affecting other travelers
• Prior reservation issues
• Failure to maintain respectful communications
33. Entire Agreement
These Terms & Conditions, together with invoices, reservation confirmations, itineraries, booking forms, waivers, acknowledgments, written communications, and supplemental policies issued by Vanilla Cow Travel Company LLC, constitute the entire agreement between the traveler and the Company.
No verbal statement, informal conversation, assumption, representation by third parties, rumor, interpretation, or understanding shall modify these Terms & Conditions unless confirmed in writing by Vanilla Cow Travel Company LLC.
34. Electronic Acceptance
Submission of a reservation, acceptance of an invoice, completion of an online booking, electronic acknowledgment of Terms & Conditions, payment of any amount toward a reservation, or participation in a tour shall constitute acceptance of these Terms & Conditions.
Electronic acceptance shall have the same force and effect as a handwritten signature.
35. Agreement
By making a reservation, submitting payment, accepting an invoice, participating in a tour, or otherwise engaging the services of Vanilla Cow Travel Company LLC, the traveler acknowledges that they have read, understood, and voluntarily agree to be bound by these Terms & Conditions.
The traveler accepts full responsibility for their participation and agrees to comply with all policies, procedures, payment requirements, conduct expectations, and operational decisions outlined herein.
