Comprehensive Booking Terms & Conditions

1. Booking & Payments
A non-refundable deposit is required to secure all reservations. Bookings are confirmed only upon receipt of payment and are subject to availability. A payment schedule will be provided at the time of booking. Failure to comply with payment deadlines may result in automatic cancellation without further notice and forfeiture of all funds paid. Vanilla Cow Travel Company reserves the right to cancel reservations that are not paid in accordance with agreed terms.
2. Pricing & Package Structure
All pricing is presented as a curated group package and may include planning, coordination, and group management services. Prices are subject to change until a deposit has been received. Once payment is made, pricing is secured unless adjustments are required by suppliers. Pricing may vary based on occupancy, participation levels, or supplier changes.
3. Refunds & Cancellations
All deposits are non-refundable unless otherwise stated in writing. Cancellation penalties are
determined by third-party suppliers and increase as the departure date approaches. No refunds will be issued for missed payments, voluntary withdrawal, no-shows, or unused portions of the trip.
4. Travel Documents & Entry Requirements
Travelers are responsible for obtaining valid passports, visas, and meeting all entry requirements. Passports should be valid for at least six months beyond the return date. Vanilla Cow Travel Company is not responsible for denied boarding or entry due to improper documentation.
5. Cruise Line Terms
All cruise bookings are subject to the terms and conditions of the cruise line, including the Passenger Ticket Contract. These terms govern cancellation policies, itinerary changes, safety protocols, and limitations of liability.
6. Itinerary Changes & Weather
Travel itineraries may be modified due to weather, safety concerns, or operational decisions. No refunds or compensation will be provided for changes outside the control of Vanilla Cow Travel Company.
7. Flights
Flights arranged upon request will be invoiced separately and are due in full upon receipt. Airline tickets are typically non-refundable and non-transferable once issued. Vanilla Cow Travel Company is not responsible for airline schedule changes or cancellations.
8. Hotels
Hotel accommodations may require immediate deposit or full payment. All hotel bookings are subject to the policies of the hotel provider.
9. Tours & Excursions
Optional tours may be paid in installments if offered. Final confirmations, tickets, and vouchers will only be released upon full payment.
10. Guest Conduct
All travelers must behave respectfully. Disruptive, unsafe, or inappropriate behavior may result in removal from the trip without refund.
11. Group Travel Expectations
This is a structured group experience. Travelers must adhere to scheduled times and meeting points. The group will not delay or adjust plans for late participants.
12. Communication
Participation in the designated WhatsApp group is required for updates. Travelers must maintain aworking phone during the trip.
13. Fitness Level & Medical Responsibility
Travelers must ensure they are physically and medically able to participate. Any medical conditions or mobility limitations must be disclosed at the time of booking.
14. Responsibility for Damages
Travelers are responsible for any damage caused to accommodations, transportation, or other property. Any resulting costs will be the responsibility of the traveler.
15. Travel Insurance
Travel insurance is strongly recommended to protect against cancellations, delays, and emergencies. Vanilla Cow Travel Company is not responsible for losses due to lack of insurance coverage. Assistance is available upon request.
16. Liability Disclaimer
Vanilla Cow Travel Company acts as an agent for third-party suppliers and is not liable for their acts or omissions. This includes delays, cancellations, injuries, losses, or damages.
17. Force Majeure
Vanilla Cow Travel Company is not liable for events beyond its control, including natural disasters, pandemics, government actions, or transportation disruptions. No refunds will be issued under such circumstances.
18. Traveler Information Accuracy
Travelers are responsible for providing accurate personal information. Errors may result in additional fees imposed by suppliers.
19. Payment Authorization
By submitting payment, you confirm that you are authorized to use this payment method and approve Vanilla Cow Travel Company to process payment for your selected travel services.
